1. Scope

This policy applies to paid passes purchased directly through an official New York AI Forum™ checkout or an authorized registration provider. Transaction-specific terms displayed at checkout also apply and may control where they are more specific.

2. Currency, taxes and fees

Unless stated otherwise, paid registrations are charged in U.S. dollars. Applicable taxes and disclosed processing or platform fees may be added at checkout.

3. Attendee cancellation

Refund eligibility and deadlines will be displayed when public sales open. Where a transaction provides a cancellation window, requests must be received within that window through the designated support channel. After a published deadline, registrations may be non-refundable except where required by law.

4. Transfers and substitutions

Where permitted, a pass may be transferred or substituted for another eligible attendee before a published deadline. Invitation-led, complimentary, media, speaker, sponsored or restricted credentials may require approval and may be non-transferable.

5. Event postponement

If the Forum is postponed, valid paid registrations will ordinarily be transferred to the rescheduled date. Additional options, if any, will be communicated to affected purchasers based on the circumstances and applicable law.

6. Event cancellation

If the Forum is cancelled and not rescheduled, eligible paid registration fees collected directly for the cancelled event will be handled according to the transaction terms, payment-provider rules and applicable law. Travel, accommodation, visa, lost work or other indirect costs are not covered unless expressly stated otherwise in writing.

7. Removal for conduct or credential misuse

Removal or credential revocation for material misconduct, fraud, credential misuse, safety violations or serious breaches of the Code of Conduct may be non-refundable to the extent permitted by law.

8. Chargebacks and duplicate transactions

If you believe a transaction is duplicate or incorrect, contact us before initiating a chargeback so the issue can be reviewed. Fraudulent chargebacks may result in cancellation of related credentials.
