1. Scope
These Event Terms apply to attendance, registration, credentials and participation in New York AI Forum™ events, including main-stage programming, roundtables, receptions, digital sessions and related official activities.
2. Registration and eligibility
Some programming may be public, capacity-limited, invitation-led or restricted by professional role. Registration does not guarantee access to every room, reception, meeting or session. We may request information reasonably necessary to verify eligibility or maintain event security.
3. Credentials
Badges, passes and credentials are personal unless expressly stated otherwise. Sharing, resale, duplication, alteration or misuse may result in cancellation without access. Identity verification may be required.
4. Program changes
Speakers, session titles, times, rooms, venues, formats and access conditions may change before or during the Forum. We may substitute programming or modify capacity in response to operational, venue, security or other reasonable requirements.
5. Photography, video and media
Public event areas may be photographed, filmed or recorded for editorial, archival, promotional and media purposes. By entering clearly designated public Forum spaces, participants acknowledge that incidental capture may occur. Separate consent or terms may apply to interviews, speaker recordings, closed sessions or commissioned productions.
6. Security and safety
Participants must follow reasonable security instructions, venue policies and emergency procedures. Prohibited items, disruptive conduct or refusal to comply with lawful security measures may result in denial or removal.
7. Professional conduct
The Code of Conduct applies. Harassment, threats, discrimination, stalking, intimidation, violence, deliberate disruption or misuse of confidential information are not acceptable.
8. Travel and personal expenses
Unless expressly agreed in writing, participants are responsible for travel, accommodation, visas, insurance and other personal expenses. Forum registration does not guarantee entry into the United States or any travel authorization.
9. Cancellation, postponement and force majeure
The Forum may postpone, relocate, reformat or cancel an event due to circumstances including venue issues, safety concerns, severe weather, public-health conditions, government actions, infrastructure failures or other circumstances beyond reasonable control. Applicable refund or transfer rules are described in the Refund Policy and any checkout-specific terms.
